Invitation to Submit a Proposal to Host WAMM 2023
The World Alliance of Airway Management and our Core Professional Conference Organiser (PCO) partner Conference Partners International are seeking bids from National Airway Management Associations and Societies to host the World Airways Management Meeting in 2023.
Bid Process
- The proposed Local Organising Committee (LOC) Chair
- Additional LOC members
- LOC Chair and LOC Society affiliations; list all relevant affiliations
- National society membership figures (it is important to provide a local flavor to the meeting that national experts are well represented at WAMM 2023)
RFP Process
Full proposals to host the 3rd World Airway Management Meeting in 2023 should be sent to the WAMM Secretariat at wamm2023@conferencepartners.com before 5pm CET on 13 March 2022.
Notification of shortlisted destinations will be made on the 29 March 2022
Proposals should contain information on:
- The proposed venue and costs
- Hotel accommodation nearby and cost per night
- National airway management association (if any)
- List of relevant affiliations (if any)
- Subvention or in-kind financial support
Applications will be assessed by a WAAM Panel, based on the following weighting:
1. Proposal Concept – 25%
2. Local Host Committee – 25%
3. Financial Viability – 25%
4. Delegate Experience – 25%
WAAM reserves the right to appoint a destination directly should there be no suitable applications through this RFP process.
Conference Brief
Destination and Venue Requirements
- 1800+ Attendees
- Plenary – Up to 2000 capacity seated auditorium
- Minimum 3,000 sqm (to include sufficient area for catering set up and flow)
- One large exhibition space – c. 50 Exhibition Stands of varying sizes from 6m² to 18m²
- Capacity for up to 2000 Exhibitors and delegates for catering at peak times
- 4 x breakout rooms (up to 250 capacities)
- 6 x smaller rooms 50 pax capacity
- 1 x Office space
- Easy access for exhibition build (loading bay) and parking for trucks for loading /unloading
- Storage for Exhibitor cartons/materials
- Catering to be provided in exhibition area
Gala Dinner
- Black Tie event
- 600-700 guests (645 in 2019)
- Suitable space for a drinks reception and seated dinner (not walking dinner)
- Open to offsite venues if most suitable
Assessment Criteria
The following criteria will be used for the selection of the WAMM 2023 host and location:
- National Airway Society/Association Affiliation and local delegate participation
- Safety for delegates
- Visa management
- Proposed Local Organizing Committee
- Committee experience in organizing/hosting medical and scientific congresses
- Plan for delivering an excellent scientific program
- International air access & local transportation
- Number of expected participants from own and neighbouring countries
- Location of previous congresses of a similar scale
- Costs and financial security
- Proposed conference legacy
- Official language of WAMM 2023 is English
- All responses should be in both the local currency and in EUR.

- 4 x breakout rooms (250 pax capacity)
- 1 x office space + auxiliary rooms
- Easy access for exhibition build (loading bay) and parking for trucks for loading/unloading
- Storage for Exhibitor cartons/materials
- Catering to be provided in the exhibition area
Gala Dinner
- Black Tie event approximately 500 guests
- Suitable space for a drinks reception and seated dinner (not walking dinner)
- Open to offsite venues if more suitable.

Accommodation
- Faculty rooms; 50 rooms x 3 nights (Weds to Sat) including breakfast in a high standard 4-star hotel close to the venue
- Faculty Hotel must accommodate Faculty buffet x 120 pax (rolling buffet 19:00-21:00 on arrival night Wednesday.
- The city must have a wide availability of accommodation within a 2.5 km radius of the venue that can accommodate delegates.
- For WAMM 2019 in Amsterdam, most attendees booked hotels, Air BnB, serviced apartments directly with c. 20% booked hotels using the conference portal.
- A mix of high standard 3–4-star hotels are appropriate
- Good transport links to and from the venue so city-centre venue and accommodation on good transport and walking distance if possible. Including public transport and walking routes in map form would be advantageous.
